Our coordination service is designed to take charge of your wedding 2 months before your big day to finalize details, coordinate service providers and deal with the unexpected. We offer you tailor-made support, adapting to your needs and desires for a wedding that’s just like you. On the big day, we make sure everything runs smoothly, so you can concentrate on what’s most important: enjoying your wedding.

Our process

Prior to your wedding

As soon as your quote has been validated and the first deposit is paid, our collaboration begins!

  • During our first meeting:
    • We take the time to get to know you, understand your tastes and inspire you with creative ideas for your wedding in the South West of France.
    • We go over the various services and details of your wedding, guiding you every step of the way.
    • We give you all the keys so you can define your budget and find the vendors you need to sign.
  • During our first meeting:
    • Together we assess the progress of your planning.
    • We provide you with all the information you need to communicate effectively with the vendors you’ve booked, and help you create a first draft of your big day.
  • 2 months before your wedding, once your suppliers have been booked and the first draft of your big day has been completed, Perfect As Planned takes over the organization to finalize it:
    • We carefully review the documents and contracts signed with each vendor, to make sure everything is in order.
    • We contact each vendor to confirm that your big day is in perfect harmony with their requirements.
    • We prepare a precise schedule for your big day, which we submit to you for validation, to ensure that every moment is perfect.
    • We send the finalized schedule to all the vendors, informing them of their respective tasks, for optimum coordination.
    • We take care of any unforeseen events that may arise during this final phase of planning, so that you can enjoy this time to the fullest.
  • A few days before your wedding, we meet for a final review of the schedule and to finalize the last details.
  • Our team arrives at the reception site to carry out an inventory and ensure that everything is ready.
  • We receive and check your furniture and decorations.
  • We start setting up indoor areas and prepare outdoor areas.
  • We welcome and supervise vendors as they carry out their installations.
  • We’re the first on the scene to welcome all the vendors, review everyone’s tasks and deal with any unforeseen events.
  • If you’re having a civil ceremony: We’re at the town hall to welcome your guests and vendors, manage the timing, coordinate your entry and exit, and make sure you’re taken care of by your drivers (if you’ve hired a transport company).
  • If you’re having a religious or symbolic ceremony: We’re at the ceremony site to set up your small decorations and/or furniture, welcome your guests and vendors, manage the timing, coordinate your entry and exit, make sure you’re taken care of by your drivers (if you’ve hired a transport company), and uninstall your small decorations and/or furniture.
  • And from your cocktail hour through to the evening, we’re at your reception venue to welcome and inform your guests, coordinate vendors, make sure schedules are respected, and set up or take down any small temporary decorations… And all the way through to the start of the party and dancing (which marks the end of the events to be coordinated).
  • We return to the reception site to finalize the removal of furniture and decorations.
  • We welcome and supervise vendors as they dismantle.
  • We take care of the return of your equipment.
  • If you wish, we can accompany you during the final inventory.
  • We meet for a final debrief and to share your impressions.
  • We stay in touch with your photographer and videographer until we receive your memories.

 

Your wedding is over, but our bond lives on!

  • We can help you with a partial search of your suppliers.
  • We take care of the entire decoration of your wedding.
  • We create your customized stationery and/or signage.
  • We write and officiate your symbolic ceremony.
  • We help you prepare your religious or secular ceremony.
  • We organize and coordinate your welcome dinner.
  • We organize and coordinate your day-after brunch.
  • We expand our team for the installation and removal of your heavy furniture.
  • We expand our team to move your light furniture (e.g. chairs) during a short time frame.
  • We expand our team for the installation and removal of a starry sky or other ceiling decorations.
